Microsoft Exchange is a mail system with groupware functionality. Users having an Exchange mail account can use the group address books and group calenders with other Exchange users.

By default, we offer to university institutions and employees the possibility to have their mailboxes hosted on the Hermes cluster (imap.mail.uni-kiel.de/pop3.uni-kiel.de).

Alternatively institutions and employees can apply to have their mailboxes hosted on the Exchange cluster in order to use the groupware functionalities with Microsoft products.

Prerequisite for the use of Exchange is an account in the Active Directory of the computing centre, which must already exist or be set up upon application. The service is then accessed via the Outlook program in its most current version. Older versions are not supported, since the range of functions of Exchange is thus only limited. The use of Outlook requires a license of Microsoft Outlook or Microsoft Office, the use of the Exchange service requires additional licenses on the server side. Web-based access, which is largely identical to Outlook in terms of functionality, can also be provided via the OWA web application, which should preferably be used via Microsoft Internet Explorer.

Range of services

  • Central storage of emails, appointments and address books for the Microsoft Outlook product.
  • Access to emails via the proprietary Exchange interface of Outlook and (restricted) via the IMAP protocol.
  • Sending emails via protocols SMTP, SMTPS and direct delivery to other Exchange mailboxes.
  • Custom filtering of emails.
  • Access control (sharing) of mailboxes and calenders for other Exchange users.
  • Access is possible via Microsoft Outlook or via Microsoft Outlook Web Access (OWA) web service.

 

Special features and restrictions

  1. Access to an Exchange account is possible via Outlook. An access with other applications is usually only possible with restrictions.
  2. Outlook is generally supported by the IT representatives of the respective institutes.
  3. The capacity of the Exchange server is limited, therefore mailboxes on the server have a quota, i.e. are limited in size.

  4. The user can recover deleted data of the last 14 days himself using Outlook's own functions.

Licences

For the use of Exchange a so-called 'Exchange Standard User CAL' as well as a Server Access License is required for each mailbox. For employees of Kiel University these are included in the framework agreement with Microsoft. Please refer to the following website for the exact license terms.

If the above mentioned license terms do not apply to the use of Exchange, an 'Exchange Standard User CAL' as well as a Server Access License is required for each mailbox. If you have not already purchased these licenses, they can be purchased through the Select contract with Asknet. A copy of the proof of the acquired license is to be sent to the computing centre, for the attention of Mr. Kühnel.

To apply for the Exchange service as an employee, please fill out the application form #1, available at Download portal for forms and send it by (internal) mail to the user administration of the computing centre, Ludewig-Meyn-Str. 4, 24118 Kiel or hand it in directly at the computing centre (Hermann-Rodewald-Str. 3, service room or Ludewig-Meyn-Str. 4, 1st floor). Please add a note in the form that you would like to have email on Exchange.
