Using waiting rooms

About waiting rooms

To secure your meetings, you can configure the meeting itself so that no one can enter it directly. Instead, new arrivals are first directed to a waiting room, from which they are then admitted (usually by a meeting host). This prevents disruptors from directly accessing the meeting (or re-entering it) even if they have access data such as the meeting ID and code.

Activating waiting rooms when planning the meeting

However, for large meetings, it would be cumbersome to let all participants in individually. Therefore, the waiting room options should be set wisely.

You can find the waiting room options in the 'Security' section when scheduling the meeting:

Aktivierung des Warteraums

Activate the waiting room option and select who should enter the waiting room first for the scheduled meeting:

Warteraum-Optionen

A recommended option is

'Benutzer außerhalb Ihres Kontos' (Users outside of your acoount),

This allows anyone who has previously logged into the Zoom client with their CAU Zoom account to enter the meeting directly. All students have such an account, as do all those with an employment contract managed by the CAU.

Only people from outside the CAU would still be sent to the waiting room, as would, of course, those who have not logged into the Zoom client despite having an account. In this case, the meeting invitation should indicate beforehand that a Zoom login is required to enter the meeting directly.

Overall, this option is similar to requiring authentication, but the waiting room still allows for additional people, both external and internal, who are having login problems to enter.

Activation while meeting is running

You can also activate the waiting room during the meeting, for example, to prevent a disruptive person from re-entering immediately after leaving the meeting. There's an option for this in the meeting host tools:
