Synchronize address books in Outlook 201X

Microsoft Outlook 201X is unfortunately not able to support the open standards for address books (CardDAV) and calendars (CalDAV) ex works. Therefore, an additional program must be installed that synchronizes the Outlook address books with the address books of the CAU Cloud. For this purpose we recommend the tool Outlook CalDav Synchronizer. You can either install this tool manually, as described below. However, if your workstation is managed with the Matrix42 client management system (in german), you can obtain CalDav Synchronizer directly from the software depot. The process to install from the software depot is described here. Then you can jump straight to the setup in Outlook.

First of all, you need to download Outlook CalDav Synchronizer from the developer's website. Save the application to your computer in the ZIP format.

Install .NET Framework 4.8 or later

The Outlook CalDav Synchronizer requires the Microsoft .NET Framework version 4.8 or newer. This is included and will be installed first. Open your download folder and extract the zip archive by right-clicking, then select Extract All... from the context menu. Then open the extracted folder and start the installation by double-clicking setup.exe. You must have administrator rights to install the .NET Framework, follow the instructions of the installer or ask your administrator. After the installation, the computer must be restarted.

If you have successfully installed the Microsoft .NET Framework, you can install the Outlook CalDav Synchronizer. To do this, open your download folder again and start the installation by double-clicking CalDavSynchronizer.Setup.msi. Follow the instructions of the installation program. During the installation you can choose if you want to install for all users of the computer (requires administrator rights), or only for you. Continue to follow the instructions of the installation program.

For each address book to be synchronized, you need to prepare an Outlook address book folder that will be synchronized with the contents of the selected address book in the CAU Cloud. To do this, select the Folder tab in the Contacts view, then New Folder. In the dialog that opens, you need to specify a name for the folder, as well as select Contact as the item type. It is best to create the new folder as a subfolder of the Contacts folder.

Now open the CalDav Synchronizer tab and select Synchronization Profiles to create a new profile. In the window that opens, you can configure a new synchronization by clicking on the green +-icon. As profile type please select Nextcloud and confirm this with OK. You will now be taken to the options of the new synchronization profile.

First enter a name for the profile here, it must be unique if you use multiple profiles for different address books. Select the folder you just created to synchronize by clicking the ...-button. Then check the box with the description Synchronize items immediately after change to start synchronization immediately. For the server settings enter the following:

  • DAV URL: https://cloud.rz.uni-kiel.de/remote.php/dav/
  • Username: Your username in the CAU-Cloud, e.g. suabc123
  • Password: Your CAU Cloud password. If you use 2-factor authentication, you need to generate an app password
  • Email address: can be left blank

Now click on Test or discover settings to test the entered data. If you have entered everything correctly, a window opens in which you can see all the existing address books in the CAU Cloud. Select the address book you want to synchronize and confirm with OK. You will now receive a confirmation of the successful test. The address of the selected address book is set in the DAV URL line. Press OK to complete the configuration and you should see your CAU-Cloud contacts after a few seconds.
