If you configured two factor authentication within the security preferences of your CAU-Cloud account, please authentiate using your second factor or one of your backup codes. The step is optional, but highly increases the security of your CAU-Cloud account.

During the first login you will have to read and accept the terms of services for the CAU-Cloud, whithin those the user framework regulation for the Rechenzentrum is references as well as the European General Data Protection Regulation.

Within the web interface you will find the Cloud applications in the top menu, in the center of the screen the application content, in this example the file browser. In the top right corner you will find the settings menu.

Editing documents within the web interface

Dateien und Ordner anlegenYou can create files or folders using the "+" button on top of the file tree. Plain text or markdown files can be edited from within the file browser, while office documents will open the OnlyOffice web application.

OnlyOffice provides web-based applications to edit office documents either by yourself as well as in a collaboration with your colleagues.

Sharing of contents

Within the file tree you can access multiple actions on files or folders. The triangle button opens the sharing menu, while the "..." button hides a context menu to rename, move, download or delete files. You will also find an "i" button to the details menu with additional functions.

Within the sharing dialog you can type the name of the colleague to share data with. After a couple of seconds you will be presented with a list of recommendations matching your input. For people without a CAU-Cloud account you can also type in an e-mail address, by klicking on the match with the e-mail symbol the person will get a notification e-mail containing a link to access the contents.

You can edit the access rights for the persons you shared data with at any times. Also you can set a password, or set an expiration date. You will have to provide this password to the person on a different way of communicatiuon by your choice.

The password will have to satisfy the password policy of the Rechenzentrums, meaning it has to be at least 9 characters long, as well as including at least one characters of the categories small letters, capital letters, digits and special characters.

The last option to share data is by generating a public link to access the files or the folder. Similar to sharing by e-mail oyu can choose to add an expiration date and/or a password. You will have to provide the link and/or password to the user by a method of communication by your choice.

Trashbin and older versions of files

The saying goes "those who work make mistakes", which seems to be true. To protect our users from data loss the files are backed up dayly for 60 days by the Rechenzentrum team. Additionally the CAU-Cloud allows the user to access recently deleted files as well as older versions of files and restore them to the file tree. On the lowe left in the file tree in the web interface you will find a menu item "Deleted files", there you can access recently deleted files, after 7 days these file will be deleted automatically.

Sometime files are not deleted completely, but a state is saved which was not intended to be, this can easily lead to hours of lost work. To mitigate this problem, the CAU-Cloud allows you to access older versions of files for up to 7 days as well. In the file details menu (i) you can find a register "Versions" which shows recently changed versions of the file. You can restore a version right back to your file tree. Caution: The current version within the file tree will get overwritten! If you want to access both versions at the same time, please make a copy of the current version before starting a restore. But the current version still exists within the Versions history and could be restored as well.
