Microsoft Outlook 2016

Creating an account

The first time you start Outlook, the welcome screen is automatically displayed:

Outlook 2016 Willkommen

If this is not the case, for example if an email account is already set up for using Outlook, you can add a new email account in the 'File' menu under 'Account settings':

Outlook 2016 Konto hinzufügen

In the subsequent dialog, you will be asked whether an email account should be set up. Answer with 'Yes'.

E-Mail-Konto Einrichten

Now the logon data is queried for the first time. Enter the desired display name and your primary e-mail address, as well as your Active Directory-Password. For users whose computer is integrated into the Active Directory of Kiel University (e.g. Central Administration) this dialog does not appear and the computer login name is automatically entered.

Outlook 2016 Exchange automatisch einrichten

With Outlook 2016, manual configuration of access to Exchange
is no longer possible. An Exchange account can only be set up
via automatic detection (autodiscover). If the automatic setup fails,
contact the hotline of the computing centre.

The option 'Manual configuration or additional server types'
only allows a connection via 'ActiveSync',
no native access to Exchange (EWS).

Outlook will now search for the server settings for your user account using the autodiscover mechanism. If necessary, the following warning will be displayed:

Autodiscover-Warning

Click here on 'Allow' and if necessary check the box 'Do not ask me about this website in the future'. The name of the autodiscover website is 'https://ex.mail.uni-kiel.de/autodiscover/autodiscover.xml'.

If you receive a certificate warning at this point,
the automatic configuration has probably failed. Communication
with the Exchange server is always encrypted.

During automatic configuration, you may be asked for your password again. In the login dialog you must click here on 'Use other account'.

Outlook 2016 Autodiscover

The login name is not -- as suggested-- the email address, but the qualified user ID. In the dialog box, click 'Use different account' and specify the qualified user ID, for example

UNI-KIEL.DE\suabc123

Under Windows 10 the login dialog looks slightly different:

Anmeldedialog Windows 10

Here is the possibility to specify a different username under 'More options'. Enter your qualified user name 'uni-kiel.de\suabc123' and your Active Directory password here as well.

After the automatic configuration, the successful creation of a new email account is confirmed:

Konto hinzufügen abgeschlossen

Troubleshooting

Autodiscover fails

When moving to the Exchange server, there is usually already an IMAP account in Outlook. In this case the automatic setup sometimes fails because Outlook tries to log on to the Exchange server with the username and password of the IMAP account without asking for username and password. The error message is then somewhat cryptic 'Server connection is not possible'.

This can be remedied by using a separate profile for the Exchange account as described in  Outlook 2010.

The login fails/no login dialog is displayed

In this case, the Windows password memory often still contains old logon data. The password store can be accessed via the Windows Control Panel under
'User Accounts' => 'Credential Manager' => Display and clear 'Windows Credentials'.

Account settings

When Outlook is started for the first time, the setup wizard is started automatically. If an account has already been set up, the account settings can be accessed in two ways:

  • In Outlook itself on the tab 'File' and then on 'Account Settings
  • In the Control Panel under 'User Accounts' and then on 'E-Mail

Changing account settings with an opened Outlook causes problems from time to time. These can be avoided by using the control panel when Outlook is closed.
